FindHarmony.ai ("FindHarmony.ai," "we," "us," or "our") is a product operated by Huddle Up Care, Inc. FindHarmony.ai connects schools, districts, and healthcare employers with credentialed candidates across three tracks (clinical, classroom, and leadership) through its platform, available at findharmony.ai.

This Privacy Policy describes how we collect, use, disclose, and safeguard information when you visit our website or use our platform as a candidate or employer. By using FindHarmony.ai, you agree to the practices described in this policy.

This policy applies to all users of the FindHarmony.ai platform, including candidates (candidates, educators, and school leaders), employer account holders, and visitors to our public website.

2 Information We Collect

Information You Provide Directly

Information We Collect Automatically

When you use our platform, we automatically collect certain technical information, including your IP address, browser type, device identifiers, pages visited, time spent on those pages, and referring URLs. We use this data to maintain platform security and improve our service.

Information from Third Parties

We may receive information from state licensing boards, state education agencies, and national certification bodies to verify the credentials of candidates on the platform. This verification data is used solely to confirm credential status and is not shared beyond what is displayed on a candidate's verified profile.

3 How We Use Your Information

We use the information we collect for the following purposes:

• To operate the FindHarmony.ai platform and facilitate matches between candidates and employers
• To verify candidate credentials and maintain the integrity of the professional marketplace
• To generate match scores using our AI matching algorithm, which considers discipline, setting, availability, and culture fit
• To enable in-platform communication, interview scheduling, and offer workflows between matched parties
• To send platform notifications, account updates, and match alerts
• To process payments and manage employer subscriptions
• To improve our matching algorithm using aggregated, anonymized placement outcome data
• To comply with applicable legal obligations

4 How We Share Information

With Employers (about Candidates)

During the review and interview stages, employers see your match score, discipline, specialization, years of experience, verified credentials status, and fit rationale only. Your full name, contact information, and license number are not shared until a match is confirmed between both parties.

With Candidates (about Employers)

Candidates receive information about employer organizations, job descriptions, salary ranges, role-specific details (caseload for candidates, class size and grade band for educators, scope and direct reports for leadership), and setting type. Employer contact names and internal HR details are shared only through the in-platform messaging and offer system.

Service Providers

We share information with carefully selected third-party vendors who help us operate the platform. These vendors are contractually obligated to use your data only as directed by us and in accordance with this policy.

Current service providers:

• Airtable, Inc.: primary database at launch.
• Railway Corp: backend application hosting and scheduled job execution.
• Cloudflare, Inc.: DNS, CDN, frontend asset delivery, and object storage for your resume, any contracts, offer letters, and data exports you request.
• Clerk, Inc.: sign-in and user session management.
• Postmark (Wildbit, LLC): transactional email delivery.
• Twilio Inc.: SMS delivery and one-time password verification.
• Daily.co (Daily Co.): embedded video for interview sessions.
• Anthropic PBC: AI services provider for the Harmony assistant, resume parsing, and offer template analysis.
• Google LLC: geocoding of US ZIP codes to coordinates; Google Analytics 4 (GA4) for aggregate visitor and conversion analytics on FindHarmony.ai. No personal information beyond what GA4 captures via its standard event model is shared with Google.
• Functional Software, Inc. dba Sentry: error monitoring. Personally identifying fields are scrubbed before any error report is sent.

An updated list is maintained here. We will notify you at least 14 days in advance before adding any new service provider that materially changes how we process your personal information.

Legal Requirements

We may disclose information if required to do so by law, court order, or lawful request by a government authority, or when we believe disclosure is necessary to protect the rights, property, or safety of FindHarmony.ai, our users, or others.

5 Candidate Privacy Protections

Because candidates are the foundation of our platform, we have built specific privacy protections for them:

• Identity protection during search: Your name, contact details, and license number are never visible to employers until a match is confirmed.
• Platform-facilitated communication: The Platform facilitates communication between candidates and employers following match confirmation.
• Profile deletion: You may request deletion of your personal information at any time. We will process deletion requests in accordance with applicable law, subject to our retention rights described in Section 11.
• One verification, always yours: Your credential verification travels with your profile across all employer interactions. You never need to re-upload your license or certifications.
• Post-placement survey data: If you complete a post-placement survey, your individual responses are kept confidential and are only used in anonymized, aggregated form to improve the platform.

6 Data Security

We implement commercially reasonable administrative, technical, and physical security measures to protect your information from unauthorized access, disclosure, alteration, and destruction. Security measures are regularly reviewed and updated as appropriate.

You are responsible for maintaining the confidentiality of your account credentials. Notify us immediately at security@findharmony.ai if you suspect any unauthorized use of your account. If we discover that your personal information has been accessed or disclosed without authorization, we will notify affected individuals and regulators as required by applicable law.

7 Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information:

• Access: You may request a copy of the personal information we hold about you.
• Correction: You may request that we correct inaccurate or incomplete information.
• Deletion: You may request that we delete your personal information, subject to certain legal exceptions.
• Portability: You may request that we provide your data in a portable, machine-readable format.

If you request deletion of your account or personal information, we will process your request in accordance with applicable law, subject to our right to retain information as necessary to enforce our Terms of Service and non-circumvention provisions, support ongoing contractual obligations with employers, maintain records of verified placements and transactions, comply with legal or regulatory requirements, resolve disputes and defend claims, and prevent fraud or platform manipulation.

Anonymized and aggregated derivatives of your data are not subject to deletion requests and may be retained indefinitely.

10 Children's Privacy

FindHarmony.ai is a professional platform intended for use by adults aged 18 and older. We do not knowingly collect personal information from anyone under the age of 18. If you believe we have inadvertently collected information from a minor, please contact us immediately at privacy@findharmony.ai and we will take steps to delete that information promptly.

11 Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of the page and, for material changes, send a notification to the email address associated with your account. We encourage you to review this policy periodically to stay informed about how we protect your information.

Your continued use of the platform after any update constitutes your acceptance of the revised policy.
